How to Use BassFan for Event SMS and Email Marketing
A step-by-step BassFan walkthrough: choose the event account, build consented audiences, create email and SMS content, preview exact costs, and send safely.

BassFan brings event pages, artist releases, form contacts, email, and SMS into one account-aware workspace. A promoter can move from an event listing to a campaign without copying every title, image, and ticket link into a separate marketing tool.
Step 1: Open Marketing and choose the account
Go to Marketing. If you manage multiple artists, sub-accounts, or brands, choose who the campaign is for first. This selection scopes releases, events, audiences, previews, campaign history, and sends to that account. Use Change marketing account if you need to switch.
Step 2: Choose email, SMS, or combined
- Email: for artwork, event blocks, music releases, longer copy, and detailed information.
- SMS: for one concise action, deadline, reminder, or event-day update.
- Combined: for coordinated email and SMS messages with separate audiences and previews.
Step 3: Build the eligible audience
You can add a contact manually, import a CSV, or review candidates from saved forms. BassFan requires confirmation that imported people explicitly agreed to the relevant marketing channel. Email sends use confirmed, non-suppressed contacts. SMS contacts also need valid international phone data and a priceable destination.
CSV preparation checklist
- Use clear column headers such as name, email, and phone.
- Store phone numbers with the correct country code.
- Remove duplicates before import where possible.
- Do not include contacts whose permission cannot be verified.
- Keep the original consent source outside the CSV as part of your records.
Step 4: Create the campaign
For email, set the sender display name, subject, preview text, and content. Add and reorder text, image, button, event, and music blocks. Choosing a saved event or release pulls data from the selected artist account. For SMS, choose an approved sender and write the message with one clear destination link.
Step 5: Use personalisation carefully
Tokens such as a contact name can make a campaign more relevant, but only when the source data is clean. BassFan renders the personalised content in its preview calculations. For SMS, different replacement lengths can affect segment counts, so always preview the final version.
Step 6: Generate the server preview
The preview is not only a visual check. It confirms the eligible recipient count, rendered content, SMS segments where applicable, destination pricing, total credits, and shared-wallet impact. Email creative can be previewed before recipients are selected; a send still requires an eligible audience.
Step 7: Review the exact cost
- Email: 0.1 credit per accepted email.
- SMS: each recipient’s segment count multiplied by their destination credit rate.
- One credit costs 3.5p.
- The shared wallet funds both channels.
- If content, audience, segmentation, or pricing changes, create a fresh preview.
Step 8: Confirm and monitor
Confirm only after checking sender identity, recipients, subject or SMS copy, links, event details, segment totals, credits, and projected wallet. Recent campaigns and messages show the recorded status so you do not need to retry an uncertain campaign blindly.
A launch campaign example
- Create the event page with date, venue, artwork, lineup, and ticket URL.
- Open Marketing and select the promoter or artist account.
- Build an email with an event block, short story, and ticket button.
- Select the confirmed email audience and preview cost.
- Prepare a shorter SMS for the relevant opted-in local audience.
- Preview destination-weighted SMS credits and segments.
- Send the email at launch, then use SMS near a genuine deadline.
- Review campaign status and ticket-link performance.
